Free university academic appeal letter template
Appeal a university or college decision on a grade, progression, resit or exclusion. This letter frames the appeal on the two grounds institutions actually accept: procedural irregularity and mitigating circumstances not previously considered.
Who this letter is for
Appeal a mark, progression decision or exclusion on procedural or mitigating grounds. It is written in the formal register companies, landlords and card issuers expect, and it records the facts, the remedy sought and the deadline in a way that supports any later escalation to an ombudsman or the courts.
How to use this template
- 1Find the appeals deadline in your institution's academic regulations.
- 2Identify a permitted ground: procedural irregularity or new mitigating circumstances.
- 3Download the template and set out the facts and dates without emotion.
- 4Attach independent medical, counselling or bereavement evidence.
- 5If the internal process fails, request a Completion of Procedures letter and go to the OIA.
What to include before you send it
- Universities almost never re-mark on 'academic judgement' — appeal on process or evidence instead.
- Appeal within the deadline in the regulations, usually 10 to 20 working days.
- Attach independent evidence: medical notes, counselling records, bereavement documents.
The rights you are relying on
Your institution's academic regulations and appeals procedure, the Consumer Rights Act 2015 as it applies to education contracts, and the Office of the Independent Adjudicator for Higher Education (England and Wales).

My grounds of appeal are: 1. Procedural irregularity. [Explain, for example: my approved extension to [DATE] was not applied; the marking criteria published for [MODULE] were not those used; I was not given the opportunity to make representations before the decision.] 2. Mitigating circumstances not previously considered. [Explain, for example: I was unwell from [DATE] to [DATE] and the enclosed medical evidence was not available before the board met, because [reason].] I am not asking the institution to re-exercise academic judgement. I am asking that the decision be set aside because the process was not followed correctly and because material evidence was not before the board. The outcome I seek is [a reassessment as a first attempt with no penalty / reinstatement on the programme / the decision to be referred back to the board with my evidence]. Please confirm receipt and the timetable for considering this appeal. If the internal process is exhausted and I remain dissatisfied, I will request a Completion of Procedures letter and refer the matter to the Office of the Independent Adjudicator. Yours faithfully, [Your name] Enclosures: evidence as listed above.
Frequently asked questions
- Can I appeal because I think my mark is too low?
- Not on its own. Universities do not reopen academic judgement, so successful appeals almost always rely on a procedural error or evidence the board never saw.
- What is the OIA?
- The Office of the Independent Adjudicator reviews student complaints in England and Wales once the institution's own process is exhausted. It is free for students.
